REFUND & CANCELLATION POLICY

Medcon is dedicated to providing top-tier service and ensuring satisfaction for our clients. As an authorized partner, we facilitate event registrations and hotel bookings through trusted organizations and vendors. This Refund and Cancellation Policy outlines the specific conditions, timeframes, and fees under which refunds may be requested and issued.

2. Authorization and Booking Process

All event registrations and hotel bookings made through Medcon are processed directly via official housing agencies, hotels, and event organizers. By utilizing our services, you explicitly agree to the booking, cancellation, and refund terms established both by Medcon and these third-party organizations.

3. Refund Eligibility and Timeframes

Refunds may be considered only under the following strict circumstances:

  • 7-Day Request Window: A refund request must be submitted within seven (7) calendar days from the original date of purchase. Any requests received after this 7-day window will be automatically disqualified.
  • Eligible Scenarios: Within the 7-day window, refunds will only be evaluated for:
    • Official cancellation of an event or hotel booking by the vendor, within the timeframe specified in the service agreement.
    • Proven errors in billing or double/overpayment.
    • Services not rendered as agreed upon due to circumstances entirely within Medcon's control.

4. Non-Refundable Processing Fees

In the event that a refund is approved and granted, please note that an administrative and processing fee of 28.5% of the total purchase amount is strictly non-refundable. This fee covers non-recoverable transaction charges, banking fees, and administrative costs incurred during the booking and cancellation processes. The 28.5% fee will be deducted from the total refundable amount before the remaining balance is issued back to the original payment method.

5. Non-Refundable Situations

Refunds will not be issued under any circumstances in the following cases:

  • Any request made after seven (7) calendar days from the date of purchase
  • Cancellations made after the specific deadlines outlined by the respective hotels, housing agencies, or event vendors.
  • Change of mind, scheduling conflicts, or personal reasons not explicitly covered by our policy.
  • Failure to comply with the terms, conditions, and attendance policies set forth by Medcon or our third-party vendors.

6. Refund Request Process

To request a refund within the eligible 7-day period, you must contact our customer service team in writing. Your request must include your full booking details, invoice/receipt number, and the specific reason for the request.

Eligible refund requests will be thoroughly reviewed. Once approved, refunds will be processed within fifteen (15) business days. Refunds will only be credited back to the original payment method used during the transaction.

7. Partial Refunds

In certain instances, such as partial cancellations or amendments to a multi-part booking, a partial refund may be considered. The final refundable amount will be determined based on the specific terms of the vendor service agreement, minus the mandatory 28.5% administrative fee.

8. Dispute Resolution

In the event of a disagreement or dispute regarding a refund decision, Medcon will collaborate with our third-party vendors to investigate the matter thoroughly. Our goal is to reach a fair, transparent, and compliant outcome for all parties involved, in accordance with our documented policies.

9. Amendments to this Policy
